This section details the available file properties and metadata that can be assigned to a file type.

Getting Started

Preliminary Steps

  • Permissions Required: Ensure you have the necessary permissions ("Form Management and Predef > Form Edit") under the "Form Management" section to manage file properties.

  • Accessing File Properties: Navigate to “Settings > Files > File Properties”.


File Categories

Purpose: Use categories to label documents, simplifying the review process for your administrative staff.

  • Creating File Categories:

  1. Go to the File Properties page.

  2. In the File Categories section, click the Create button.

  3. Enter the details for the new category and save.

  • Modifying Categories: Rename or remove categories using the Pencil and Trashcan icons respectively.


Edit File Category

Connected to PASI

When Connected to PASI you can preset metadata for PASI document uploads based on selected document types. This includes:

  • SchoolEngage Upload Category - Visible title during upload.

  • State Reporting Category/ Document Type - Document type as defined in PASI, list is not editable and comes directly from PASI as a sync.

  • Is Relevant - Whether the document should be marked as “relevant”.

  • Is Only Relevant - Whether the document should be marked as “Is only relevant”

  • Is Digitized - If the document is digitized.

  • Is Text Searchable - If the document has searchable text.

  • Language - Document language

  • Marked as Excluded By Default - Option to exclude the document by default from PASI submissions.

  • Bulk Registration Document Upload - Determines what can be sent using the PASI Documents mass push option

Bulk Registration Document Upload should only be set true for files created in SchoolEngage per PASI regulations

Not Connected to PASI

Adjust the SchoolEngage Upload Category to specify the type of file being uploaded.

Using File Categories

Once set up, these categories will be available during file submissions as selectable options, like "Alberta Birth Certificate" or "Canadian Work Visa."


File Settings

Setting File Restrictions

  1. On the File Properties page, locate the File Settings block and click the Create Button.

  2. Here, you can establish new file size restrictions for uploads. Setting a Global Maximum Filesize applies a limit across all file types, whereas specifying file formats restricts only those formats.

Modifying Settings

Change settings using the Edit button, or remove them with the Remove button.
