Data Validation

Overview

In this section you will learn about the Data Validation feature of the SchoolEngage platform.

Data Validation is designed to assign Validation type forms to SchoolEngage users in bulk.

Users can navigate to the the Data Validation page by heading to Settings → Mass Actions → Data Validation.

User Type

The target user type of the form. Generally will be set to Student for forms which predominantly collects student related information.

Source

The source of information which will populate the form with user information. Generally will be set to PowerSchool to retrieve information stored in PowerSchool. Selecting SchoolEngage will populate the form with information stored within SchoolEngage.

Form

The form that will be assigned to users.

School

Dictates which students will be available to assign forms to.

  1. Select options for the required drop downs listed in the table above.

  2. Enabling the “Include pre-registered students” option will include students who are pre-registered in SchoolEngage/PowerSchool

  3. Select the the specific grade(s) of the students you are interested in

TIP: To quickly enter all grades, hold the ENTER key after selecting the first grade

  1. Click the Generate List button to get users which match the selected criteria in the steps above.


Selecting Students to assign forms to

After generating the list of students, users can further narrow down the students they wish to assign the form to.

Selecting students in the table

Selecting individual student(s) in the table will let users specify which students to assign the form to. After selecting students in this manner, the “Submit X Students” button will begin assigning the form to the respective students.

  • Clicking the checkbox in the table header will select all students in the current page.

  • Clicking the checkbox in each table row will select/deselect students

Querying students via Student Selection

Target students can be further narrowed through Student Selection.

View the PowerSchool documentation to learn about the query options available.

To query for students:

  1. Click “Edit Selection”

  2. In this dialog, you have the ability to create a search based on actual PowerSchool fields

  3. Click “Run Query” to view the student list based on your criteria

  4. Click “Done” to apply and view your search results

Query students via Student Group Selection

Target students can be further narrowed through Student Group Selection by importing selected students directly from the staff user’s PowerSchool.

This feature requires the SchoolEngage Student Group Selection plugin to be installed in your district’s PowerSchool.

Run Data Validation

After selecting target users, click either the “Submit X Students” or “Submit for all X Students” to begin the Data Validation process.

Once data validation begins:

  1. Forms will be queued for assignment to target users in batches of 100

  1. Once the batch is complete, it will be given one of the following statuses

Finished

The forms were successfully assigned to the batch.

Failed

An error occurring form assignment.

Interrupted

The SchoolEngage Service is unavailable during form assignment

Cancelled

The form assignment is stopped by staff.


Reverting Assignment

Once a batch of assignments are complete, staff have the ability to undo assignment of forms which have been created through data validation.

Full Reset

By checking the “Delete all forms, including those that have been submitted and possibly approved.” option, all forms will be unassigned from this batch.

Soft Reset

By leaving the “Delete all forms, including those that have been submitted and possibly approved.” option unchecked, the forms which have not been modified, submitted or approved will be reverted.
