This section covers the Staff Schedule area of the Event Manager.

Mass Create

My Schedule

Day View (Staff Calendar)

Each day displays the appointments scheduled for that day. Colors indicates status of each individual appointment.

Free Timeslot

Busy Timeslot (Not assigned but reserved)

Delete Timeslot

Free timeslot can be deleted only when start date and time is in the future. Click on the Trash icon to delete the timeslot.

Editing Taken Timeslots

The appointment options of a Taken timeslot cannot be edited however the system does provide the following options:

Comments

If the parent upon scheduling appointment enters the comment, it will be display here. The Calendar owner can create two types of the comments: visible and not visible to the parent.
Comments sections displays date and time of creation, name of creator and comment itself. Note that comments can be only be deleted by the calendar owner.

Guardian and Application Links

Guardian link points to the parent who scheduled appointment.
Application link points to form for which the appointment was scheduled.

Appointment Cancellation

To cancel appointment, click Cancel Appointment. After confirming the cancellation the timeslot becomes Free.

When the appointment’s start date is in the past, “Attended” checkbox becomes available.


Manage Schedule on Behalf of Other Staff

Users with applicable rights can click on Staff Schedule to manage the timeslot schedule for all users who have access to the Event Schedule function. This screen supports the view by week only.

All the same functionality available to manage the calendar at an individual level is available when managing the Event Schedule of other users.


Manage Schedule on Behalf of Parent

Users with applicable rights may assign an event for Parents. There are two ways to do this, depending on the type of event.

  1. If the event is attached to an applicable, they may go to a parents page. In the list of the their students applications, they will now see a column for Appointments. N/A indicates that this application does not have an appointment. Not Scheduled indicates an appointment is required but not set. Clicking on Not Scheduled will allow the Staff to choose a timeslot for the meeting. It will automatically be assigned to the parent and notify them.

  1. If the event is not tied to an application, it will appear in the students profile under Events. Each assigned parent will have a schedule button that can be used.

Once a parent is chosen, events can be schedule for them in the same way as the above method
