This section provides an introduction to generating custom PowerSchool student report cards.

Preliminary Steps

PowerSchool Setup

Before you begin generating reports, it is essential to access PowerSchool Admin to properly configure your system. Start by setting up 'Years & Terms' to outline the academic calendar for each school. Following this, configure the 'Final Grade/Reporting Term' settings to ensure accurate grade reporting for each term. These initial steps in PowerSchool Admin are crucial for the successful management and reporting of academic performance.

Steps to Set Up Years & Terms in PowerSchool

First, determine the structure of your academic year:

  • Annual Setup: Decide on the number and type of reporting terms (semesters, trimesters, quarters).

  • Create Terms in PowerSchool: Input these into PowerSchool under School setup > Years & Terms. Each term can then be customized with start and end dates, and associated with specific grading periods.

Final Grade/Reporting Term Setup

On the School setup > Final Grade/Reporting Term Setup page, you will see options to configure or edit reporting terms used in your school’s grading process. You can set up:

  • Term Definitions: Define each grading period, such as Q1, Q2, Semester 1, etc., with specific start and end dates.

  • Grading Practices: Specify how grades are calculated for each term, including weightings and other calculation rules.

Note: Always revisit these settings before the start of each academic year to make necessary adjustments based on changes in school policies or academic requirements. This proactive approach helps maintain a smooth operational flow throughout the school year.

Browser Setup

To ensure full functionality, please allow pop-up windows in your browser settings for the PowerSchool site.

Note: The fully supported browsers for this report are FireFox, and Chrome (recommend).


Generating Report Cards

Admin

  1. Select School:

    • Select the school for the reports on the home page first.

    • Note: Reports cannot be generated at the district level.

  2. Select Student(s):

    • Select the student(s) for the reports on the home page student select section.

  1. Navigate to the Student Report Card Generation Page:

    • System Reports (Bulk) Generation:

      • Navigate to System Reports > Powerschool Report Card, located under the Custom Report Card section.

    • Individual Student Generation:

      • Navigate to Selected Student > Student Report Card.

  2. Select Report Card Options:

    • Set the report card options. For detailed explanations of each report card option, please refer to the section on Report Card Options.

  3. Generate Student Report Card

    • Click the “Generate Student Report Card” button to generate new reports, or “Generate Student Report Card From Archive” to generate previously archived reports.

  4. Adjust Print Options, if needed:

    • Review and adjust print settings as necessary. Check Printing Tips.

Teacher

Note: To enable Student Report Cards for Teachers, please refer to the Miscellaneous section.

PowerTeacher Generation

  1. Select School:

    • Select the school for the reports on the home page first.

    • Note: Reports cannot be generated at the district level.

  2. Navigate to the Student Report Card Generation Page:

  3. Select Report Card Options:

    • Set the report card options. For detailed explanations of each report card option, please refer to the section on Report Card Options.

  4. Generate Student Report Card

    • Click the “Generate Student Report Card” button to generate new reports, or “Generate Student Report Card From Archive” to generate previously archived reports.

  5. Adjust Print Options, if needed:

    • Review and adjust print settings as necessary. Check Printing Tips.

PowerTeacher Pro Generation

  1. Navigate to the Student Report Card Generation Page:

    • From the main screen, navigate to the left bottom menu.

    • Open the Reports > Student Report Card.

  2. Select Report Card Options:

    • Set the report card options. For detailed explanations of each report card option, please refer to the section on Report Card Options.

  3. Generate Student Report Card

    • Click the “Generate Student Report Card” button to generate new reports, or “Generate Student Report Card From Archive” to generate previously archived reports.

  4. Adjust Print Options, if needed:

    • Review and adjust print settings as necessary. Check Printing Tips.

Portal (Parents/Students)

Note: To enable Student Report Cards for Parent Portal, please refer to the Miscellaneous section.

Note 2: The report should be archived by an administrator before parents can see it.

  1. Navigate to the Student Report Card Generation Page:

    • From the main screen, navigate to the left bottom menu.

    • Open the Report Card.

  2. Click the report name to generate the report.


Report Card Options

Note: Some of the following options may not be available for your school.

Students to scan

There are two options:

  • Selected Students: Generates the report only for the students you specifically choose.

  • All Currently Enrolled Students: Automatically includes every student currently enrolled at the selected school in generating the report.

Report Card Template

Select the report card template that best suits the selected student(s). Templates are typically customized for each client to align with specific reporting needs and educational standards.

Current Reporting Term

Select the reporting term for which data should be included in the report. This determines the timeframe of the academic data presented.

Terms

Select the terms for the selected report card template and reporting term. Courses will be pulled from the terms you select.

Ensure terms are selected for each template, reporting term, school, and school year.
If no terms are selected for the chosen combination, no sections will be returned in the generated report card.

Note: This feature is available only on the bulk generation page of the PowerSchool Admin side.

Store Code Selection

Lists each Store Code setup for the school in PowerSchool. The selected store code is where Grades/Assessments and attendance ranges are pulled from.

Note: This feature is available only on the bulk generation page of the PowerSchool Admin side.

Sort By

Choose how to organize the report by selecting a sort option. Available options include sorting by grade, last name, or homeroom.

Include Dropped Sections

  • Enabled: Reports include all sections a student was enrolled in, even those dropped, showing full enrollment history.

  • Disabled: Reports exclude dropped sections, focusing only on current enrollments for a snapshot of the student's present status.

Include Sections Enrolled in All Schools

  • Enabled: Reports will include sections from all schools a student has attended, providing a comprehensive overview of their academic history across different institutions.

  • Disabled: Reports will only include sections from the current school, focusing on the student’s recent academic activities.

Double sided

Check this box to print on both sides of the paper.

Archived Report Card

  • Enabled: The generated report card will be saved in the student's archive, preserving it for future reference and historical documentation.

  • Disabled: The report card will not be archived, used only for current purposes and not stored for long-term access.

Note: This feature is typically available only on the PowerSchool Admin side.


Printing Tips

  • Turn on printing of backgrounds. Shading and colorations in this reports are all "backgrounds", and not printing backgrounds will generally lead to illegible printouts.

  • Select paper size as Letter and orientation as Portrait

  • Unblock popup window in browser for Powerschool site.

  • Select "Shrink to fit page width" if using Firefox.

  • Turn off printing of "header" information in your browser settings. If this is not off, each page printed will include (depending on browser) the URL of this page, a page number, and a time stamp. These are generally not desired for this report.

  • Saving as PDF: Select destination "Save as PDF" when print in Chrome.

  • For double sided printing, select the print properties to change the binding location "Short Edge".

Note: We recommend to save as PDF using Chrome, then print the PDF.


Miscellaneous Settings

To activate Student Report Cards for teachers (including both PowerTeacher and PowerTeacher Pro) and/or the Parent Portal, turn on the relevant settings on the following Miscellaneous settings for each school.

  1. Log into PowerSchool:

    • Sign in with your administrative credentials.

  2. Navigate to Miscellaneous Settings:

    • In the old interface: Go to School Setup > Miscellaneous Settings.

    • Enhanced user interface: Go to School Management > Display Preferences > Additional Preferences.

  3. Adjust Report Card Preferences: Within Miscellaneous Settings, turn on "Parent Portal Report Card" and/or "PowerTeacher Report Card" to enable these features for accessing student report cards through their respective portals.
