The PASI page is made up of 3 views:

Live PASI View

In the Live PASI View panel, you can see all documents in PASI, if they are relevant, as well as the status of their QA and Problem Reports.

Clicking the “Open” button by a document brings up the PASI Data view. This allows you to view the metadata of the document in PASI, view the document itself as well as optionally update certain fields. Audit, QA and Problem reports can be seen in other tabs.

Document Upload

The second panel is the SchoolEngage Files panel. This shows a list of all files uploaded to SchoolEngage by Staff, Students and Guardians. This panel has some key differences from the live view

The status column indicates the current state of that individual file. There are 5 states a file can be in:

Excerpt
nameDocument Upload Status
  • Not Uploaded – This document has not been touched since being uploaded, but can be uploaded.

  • Excluded – This document does not need to go to PASI, and has been marked as exclude. This counts as successful review.

  • Queued – This document has been pushed to PASI, but PASI has not confirmed that the upload has been received.

  • Uploaded – This document was successfully uploaded.

  • Failed – This document was not successfully upload. Please check the file history view for more information. Documents in the failed state can attempt re-upload after reading the failure reason in the file history.

The File Size column indicates if a file is of an eligible filesize to be pushed to PASI.

No Max Size indicates that document type does not have a maximum. (Typically for internal files)

A red backed file indicates that this file cannot be uploaded as is.

The two Adobe icons can be used to shrink uploaded files of type jpg, png and pdf (more types to come)

Blue Shrink will compress the document - depending on the document this is can be 2-6x. This number was selected through testing as the option that leads to legible documents in nearly all cases.

Red Shrink may be used for extremely large documents. This uses a more extreme form of compress that may make normal documents blurry. Use the red compress only if the blue compress is too large and still legible

Open Modal

If you press “Open” on a SchoolEngage file, you will access the file upload window.

Document names follow ASBOA Standard.

All PASI Metadata fields will appear and be dynamically pre-filled.

QA must always be manually acknowledged.

If you’d like only a specific page pushed, or need to rotate the document, these buttons are available above the document window.

Once everything has been filled out, you can press “Push to PASI” to upload the document.

File History

The last panel is the File History panel. Here you can see a full log of every upload, download, preview and push to PASI as well as the metadata changed. In the occurrence of a upload failure, you can see the reason here.
