Referral Tab

Logs Tab

The Logs area in the Counselling module allows the Counsellor/Director to save all of their meeting notes with the students. A student does not need to have a referral to meet with a student and save the meeting results.

Search Page

The search page shows all students who have at least 1 saved meeting in the system OR a referral status change. If the student is not listed in the search results, they do not have either of these but the user can create a new log and select the student. From there, once the meeting has been saved, the student will appear in the search results list.

Student Profile Page

The student profile page lists all saved Logs the student has met with the Counsellor for and all Referral status changes. Each record indicates the date and a title (meeting type or status change type).

Expanding a Log record will show summary information about what was saved.

Clicking Edit will open the Log in edit mode to see the detailed information bout the meeting

Creating a Log

Fields

Option

  • Type of meeting with the student(s)

    • Items available vary between clients

  • Individual Counselling Session

    • This is a type that is constant between all clients and works slightly different than other types. Students listed here are only students that have a Referral accepted with ‘Individual Counselling’ status and only 1 can be selected per meeting.

      • If you do not see the student here but the student should be, confirm the Referral status for the student

    • All other types allows for multiple students to be added.

Date

  • Date the meeting was held and defaults to current date. but can be backdated if necessary.

Students

  • List of students at the school. All students are available except for when the Option “Individual Counselling Session' is selected (see above for more details).

This area of the Counselling module lists various Charts and Reports to help Admins see data at a level that is easy to read and understand. These reports will help understand the Counselling data as a whole and be able to make certain decisions, such as financial, student support, etc.

Note: None of the charts have drill-downs as much of Counselling data is sensitive and should not be exposed to all Admin users.

Demographics Tab

Student Gender with Referrals

  • Report Type: Pie Chart

  • Data: Count of each gender and how many referrals created for each

    • Note: data is synced from PowerSchool so the same genders that are setup in PowerSchool are also shown here

Student Grade with Referrals

  • Report Type: Bar Chart

  • Data: Count of how many referrals created for each student grade

Logs Tab

Logs Time Spent

  • Report Type: Pie Chart

  • Data: Count of each time spent selection per Log created

Log Types Range

  • Report Type: Stacked Bar Chart

  • Data: Counts of how many meeting types created broken down by month

    • Note: this chart currently has it’s own Start and End date filters

Counselling Log Types - Session Count

  • Report Type: Pie Chart

  • Data: Counts of how many time each Log Type has been selected.

Counselling Log Types - Student Count

  • Report Type: Pie Chart

  • Data: Counts of how many students per Log Type that has been saved.

    • This is not the unique count of Logs, but instead unique count of Students.
